Creating an Oasis From the Summer Heat at Your Next Event

If you’re planning a summer event you’ve probably been scoping out a number of hot venues. Hot as in, any outdoor entertainment space.

Central Texas is known for its scorching summers, but that doesn’t stop people from having a good time. No matter how high the temperature rises, many people naturally gravitate toward outdoor areas. We’ve seen it time and time again during our casino parties.

Since guests are going to find their way outside, it’s important to consider the staging of your outdoor entertainment spaces. Even if you’ve already selected a venue there are easy ways you can make it more comfortable outdoors for your guests.

Shade, And Lots of It

On a cloudless day when it’s nothing but sunshine and clear, blue skies the sun can be merciless. Venues that have a covered patio are ideal, especially if they have outdoor ceiling fans (see below). This will provide permanent shade and some protection if it rains.

When there’s no structural or natural shading you can create it yourself with tents, umbrellas and coverings. When it’s well thought out makeshift shade can actually add to the aesthetical appeal rather than be an eyesore.

Just make sure everything is arranged so that the walkways are kept clear and there are no tripping hazards. Umbrellas and tents will also have to be secured well so they don’t become a safety issue. Ask your venue operator if they can provide umbrellas or shades before renting them from another vendor.

Outdoor Beverage Station

Did you know cold drinks can actually lower core body temperature? One study found that a cold glass of iced water could lower oral temperatures by about 2.4 degrees. When it’s close to 100 degree Fahrenheit outside that decrease can make a big difference.

If possible, set up an outdoor beverage station that’s stocked with cool drinks. It’s also important to keep plenty of water on hand so guests can stay hydrated and continue having fun. When it’s hot out our bodies lose water at a faster rate and rehydration is the only way to replace it. So encourage everyone to drink up!

Good Ice Machine

Enjoying cold beverages means you’ll need a ready supply of ice. The ice machine is one of the most overlooked details even though it’s an essential piece of party equipment.

You’ll want to make sure the venue has a reliable machine that’s easily accessible. It may also be a good idea to get a portable ice maker for the outdoor beverage station so the bartenders aren’t constantly having to make ice runs or simply filling an ice chest. These miniature ice makers can produce about three bags of ice, which means they’ll make things more convenient, but they aren’t going to be the main source of ice for the event.

Cold Confections

In addition to drinks you can also add cold confections to your catering list. Ice cream, popsicles and snow cones cool the body down just as well as a cold beverage. Trust us, during a hot summer day in Central Texas adults will line up for icy cold treats. Strategically Placed Fans

When you add a gentle breeze to the shade and a nice cool drink, Austin summers are downright enjoyable. Fans help us cool off by making it easier for sweat to evaporate on the skin. This helps the body eliminate heat and stay comfortable.

Some popular fan choices for outdoor use include:

  • Overhead Fans
  • Standing Fans
  • Tower Fans
  • Floor Fans

There’s one big however with fans. They can’t be directly facing anything that will blow away. At our casino parties a single fan could wreak havoc during a card game.

You also have to be careful around the beverage station as well. Napkins, money, etc. could end up getting scattered by a fan. That said, it might be a good idea to provide the bartender with a table fan so they don’t get too uncomfortable while they work.
